For facility managementA data foundation your operation actually runs on
A CAFM system is only as good as the data in it. We capture the building stock and prepare it so that it can be imported – regardless of which system is in use.
The drawing layer beneath the system
Room polygons with room stamps, linkable via the room number. Without this layer, every area in the CAFM system remains a number that nobody can trace.

Your tasks
| Task | Benefit | What you receive |
|---|---|---|
| Updating as-built data | Operation based on the actual current condition instead of old plans | Import-ready 2D as-built plans in DWG to your CAD guideline |
| Space management and evidence | Verifiable areas for cost allocation, distribution of funds and reporting | Room book and areas to DIN 277 as an Excel list |
| Demonstrating operator obligations | Complete documentation of plant and inspections | Plant data to DIN 276 via our plant partner |

What a CAFM system actually needs
A system is not fed with plans but with structure. Four things decide whether the import succeeds.
- Room polygons – closed areas, not a line drawing. Only these allow an area to be calculated and a record to be attached.
- A unique room number as the key between drawing, list and system. See room stamp.
- Attributes within the correct value range. Free text where the system expects a selection list drops out during import.
- Areas with the standard named. A figure without reference to DIN 277 cannot be defended in a dispute.
We clarify your system’s data model before the survey and offer a test import before the full building stock is processed.
When data comes from a legacy system
The most common case is not the empty database but the full one that nobody trusts. Four sources count the area differently, and none of them can be substantiated.
The question then is not which source is right, but which figure will apply from now on. A new survey answers this because it creates a basis that all parties can refer to – and because the point cloud is retained as evidence.
We adopt existing data that is correct. Whatever cannot be reconciled with the survey is replaced rather than overwritten, so that it remains traceable what has changed.
How the data stays up to date
A data foundation starts to age on the day of handover. Rooms are divided, uses change, floor finishes are renewed. Anyone who makes no provision for this is back at the start after five years.
Two approaches work. Continuous updating in the system, where changes are maintained where they occur. Or a repeat survey at fixed intervals, which makes sense where turnover is high. Both require the room number to remain stable – it is the anchor where old and new data come together.
What does not work is maintaining a spreadsheet alongside the system. After the second conversion it no longer matches, and nobody knows which of the two is correct.
Frequently asked questions
Will this work in our CAFM system?
We clarify your system’s data model before the survey and deliver vendor-neutral data. On request, we carry out a test import with one property before the full building stock is processed.
What if we already have data?
Whatever can be reconciled with the survey, we adopt. Whatever cannot is replaced rather than overwritten, so that it remains traceable what has changed.
Does operation have to be interrupted?
No. Interiors are captured on foot, without a tripod and without cordoning off. In patient areas we can switch off image capture on request and deliver only the geometry.
How does the data stay up to date?
Either through continuous updating in the system or through a repeat survey at fixed intervals. Both require the room number to remain stable – it is the anchor between old and new data.
Which areas do we receive?
Floor areas to DIN 277, stating the edition. If space is sublet, we also calculate rental areas to MF-GIF.
